From spreadsheets and LINE groups to rental software: a migration plan for Thai managers
Most Thai rental businesses start the same way: a Google Sheet for the calendar, another for owner payouts, and a LINE group where cleaners, maids and the owner all post at once. It works until about 15–20 units, then the double bookings and statement corrections start. This is a practical 30-day plan for moving to rental software without losing a booking on the way: what to move first, what data to gather, and what can stay in LINE.
Key takeaways
- Move in this order: calendar and channels first, then existing bookings, then owners and statements. Each step depends on the one before.
- Gather channel IDs before you start: your Airbnb login (the account holder must authorise), your Booking.com property ID, and your Agoda property, room type and rate plan IDs.
- A channel only sends reservations made after you connect, so future bookings already on the books must be entered by hand and checked against each extranet.
- Keep LINE for team chat and quick photos; keep calendars, rates, bookings, costs and owner statements in one system. Do not keep guests' passport photos in group chats.
Signs you have outgrown spreadsheets
- You have had a double booking in the last six months, or a near miss caught by luck.
- Changing a price for New Year means logging in to Airbnb, Booking.com and Agoda separately, unit by unit.
- Owner statements take more than a day a month, and you correct at least one after sending it.
- Only one person knows which tab of the spreadsheet is current.
- The LINE group is where bookings are confirmed, and messages scroll past before anyone acts on them.
- You cannot answer “what was occupancy in Kata last October?” without an afternoon of copying and pasting.
LINE is the right tool for a lot of this: LINE Thailand says it has about 56 million users in the country, so your cleaners, technicians and Thai owners are already there. The problem is not LINE; it is using a chat and a spreadsheet as the record of who is staying where.
What the errors cost
Two typical spreadsheet failures, priced in baht. Both are illustrations with assumptions stated.
| Item | Double booking on Airbnb | Statement error |
|---|---|---|
| What happened | A Booking.com reservation was not blocked on Airbnb; the Airbnb guest is cancelled 2 days before arrival | Fee taken from gross instead of net of commission and cleaning for 3 months on one villa |
| Direct cost | Airbnb host cancellation fee of 50% on an 18,000 THB stay: 9,000 | Refund of the overcharge: about 1,130 per 30,000 THB booking |
| Other cost | Calendar blocked for those dates; possible loss of Superhost status | Staff time to re-issue statements; owner's trust |
| Typical total | 9,000 plus lost resale of the dates | Several thousand baht, and sometimes the property |
What to move first
- Units and calendar. Every unit gets one calendar, and all channels read from it. This is what stops double bookings, so it comes first.
- Channels. Connect Airbnb, Booking.com and Agoda directly where you can; use calendar links (iCal) only for channels without a direct connection, knowing they exchange booked dates only and with a delay.
- Existing bookings. Enter every future reservation that was made before you connected.
- Rates and stay rules. Base prices, seasonal rules, minimum stays.
- Owners and statements. Fee terms, costs and payouts, once the bookings feeding the statements are complete.
Data to gather before you start
| Item | Where to find it | Why it matters |
|---|---|---|
| Unit list | Your spreadsheet: name, type (villa, condo, apartment, townhouse), bedrooms, bathrooms, address, map pin | Every unit needs these to go live |
| Photos | Existing listings or your photographer | Most platforms and tools need at least a few per unit |
| Licence or certificate numbers | Hotel licence or non-hotel certificate (มร.2) files | Shown on listings; keeps records consistent |
| Airbnb account | The login of the account the listings live in | The account holder authorises the connection |
| Booking.com property ID | Booking.com Extranet | Needed to connect; the property must be live |
| Agoda property, room type and rate plan IDs | YCS: property ID by the property name; Room setup; Rate plans | Agoda asks you to give these to your channel manager |
| Future reservations | Each extranet's reservation list, exported | Must be entered by hand after connecting |
| Owners | Contracts: name, contact, bank details, fee, fee base, cost limits | Drives statements and payouts |
A 30-day migration plan
Days 1–5: inventory and clean-up
Build the unit and owner lists from the table above. Fix duplicates, decide naming (for example “Kata Villa 3” everywhere), and note which listings sit in whose Airbnb account.
Days 6–10: connect a pilot
Connect one channel for two or three units you know well. Import existing listing content, check the calendar and prices before the first sync, and make a test change to confirm it reaches the channel.
Days 11–17: connect the rest and enter existing bookings
Connect the remaining units and channels. Enter every future booking made before the connection, starting with Agoda and with the nearest check-ins. Then count reservations per unit and compare with each extranet.
Days 18–24: rates, rules and team
Set base prices, seasonal and weekday rules, minimum stays and channel markups. Train the team on the three daily tasks: checking arrivals, adding direct bookings and blocking dates.
Days 25–30: owners and the first statement
Load owners and fee terms, then prepare the month's statements from the bookings in the system and compare them with your spreadsheet. Once totals match, retire the spreadsheet as the record.
If you already use a channel manager: the Airbnb rule
Airbnb allows one channel manager per host account; other kinds of tools, such as a messaging app, can be connected alongside it. Airbnb's own steps for switching are: remove the current software's access under Account settings, Privacy, Connected services (this disconnects every listing linked to it); connect the listings from the new software straight away; and sync calendars and reservations immediately. If you cannot connect at once, Airbnb suggests snoozing or unlisting the listings in between.
Plan the switch for a quiet day, have the new connection ready to authorise, and re-check the next 60 days of bookings afterwards. For Agoda, the channel manager is selected in YCS (single homes under Rates and availability, Connectivity settings; hotel-type properties under Property settings), and Agoda keeps emailing booking notifications as a backup.
What to keep in LINE and what to move
| Keep in LINE | Move to the rental system |
|---|---|
| Team chat and quick questions | Calendars, availability and blocks |
| Photos of a broken air-con for the technician | Rates, minimum stays and channel prices |
| Daily arrival reminders to cleaners | Reservations from every channel and direct bookings |
| Informal updates to owners who prefer LINE | Costs, receipts and owner statements |
Do not keep guests' passport photos or ID numbers in group chats. Under the PDPA your business is responsible for keeping guest data secure, and the regulator has fined both businesses and their service providers over weak security; in 2025 one data processor running an online reservation system was fined 3 million THB. Collect passport details for TM30 reporting in one controlled place and delete them on schedule.
Train in the language your team works in. Field staff learn faster in Thai, and a rental system with a Thai interface that each person can choose for themselves removes most of the resistance.
Moving to Propool
Propool connects directly to Airbnb, Booking.com and Agoda with full sync of nightly rates, availability and reservations, and to other platforms by calendar link. You can import existing channel listings (Source, Match, Content, Done); imported content only fills empty fields. Before the first sync Propool shows the channel's prices next to yours, and a unit that stops syncing is flagged in Inventory with what the channel reported. The interface is in English, Thai, Russian and Hindi, chosen per person, and owners get their own portal for statements (access depends on plan). If you are coming from Hostaway, a migration bridge that imports current and future reservations is rolling out. See the channel manager or the Hostaway alternative.

Questions
How long does it take to move from spreadsheets to rental software?
For 10–50 units, about a month is realistic: one week for data, one to connect channels and enter existing bookings, and the rest for rates, training and the first owner statements.
Will my existing bookings come across automatically?
Usually not all of them. Channels send reservations made after you connect, so future bookings made before that date need to be entered by hand and checked against each extranet.
Can I use two channel managers on one Airbnb account?
No. Airbnb allows one channel manager per host account, so you remove the old software's access and connect the new one straight away. Other types of tools, such as messaging apps, can be connected alongside it.
What do I need to connect Agoda to a channel manager?
Enable channel manager mode in YCS and select your provider, then give the channel manager your Agoda property ID, room type IDs and rate plan IDs.
Should we stop using LINE groups?
No. LINE works well for team chat and quick photos. Move the record of bookings, prices, costs and owner payouts into one system, and keep guest ID documents out of group chats.
