How to stop double bookings across Airbnb, Agoda and Booking.com: iCal vs a channel manager

Double bookings almost always come from the gap between a night selling on one channel and the other channels finding out. Calendar links (iCal) close that gap only when each platform next checks the link, which on Airbnb can be up to three hours. A direct connection pushes the change as soon as the booking lands. This guide explains both, the switch-over traps, what each OTA's rules say you owe the guest, and a playbook for the day it goes wrong.

Key takeaways

  • Airbnb says its calendar pulls imported iCal calendars about every 3 hours. Booking.com and Agoda do not publish a refresh interval in the help pages we could open.
  • iCal carries booked dates only, not prices or guest details, and a broken feed fails silently. In high season that is enough to sell one villa twice.
  • Before you connect a channel manager to Agoda, delete Agoda's iCal imports; left in place, they can overwrite the correct availability.
  • The cost lands on you: Airbnb charges hosts 10–50% of the reservation (minimum US$50); Booking.com and Agoda require an equal or better alternative at no extra cost to the guest.

Why double bookings happen

A double booking needs two things: a night that sells on channel A, and channel B still showing it as open. With calendar links, channel B only learns about the booking when it next downloads channel A's calendar file. With a direct (API) connection, the channel manager receives the reservation and sends a closed night to every other channel straight away.

Neither method is perfect. Direct connections can fail too, and Booking.com's own connectivity documentation lists system outages, late requests to close availability and rates that are not mapped correctly as causes of overbooking. But the window in which a second guest can book is minutes with a working direct connection and hours with iCal.

How iCal calendar sync actually works

Each platform publishes a calendar file (a URL ending in .ics) listing the nights that are booked or blocked. You paste channel A's link into channel B and the other way round. Each platform then fetches the other's file on its own schedule. Nothing is pushed; everything waits for the next check.

How often each OTA refreshes an imported iCal calendar
ChannelWhat it publishesWhat that means
AirbnbImported calendars update automatically every 3 hours; you can press Refresh Calendar, but Airbnb can only request updates so many times. Up to 2 years of data is imported.A booking made elsewhere can stay open on Airbnb for up to three hours. Airbnb also warns that nights you block on another calendar “may or may not be blocked” on Airbnb.
Booking.comNo refresh interval in the Booking.com help pages we could open.Treat it as unknown and test it: block a date elsewhere and time how long Booking.com takes to close it.
AgodaNo iCal refresh interval in Agoda's Partner Hub that we could find.Same as Booking.com: measure it on your own listing before relying on it.

iCal also carries dates only. Prices, minimum stays, guest names and booking values do not travel, so every rate change still has to be typed into each extranet. And if a feed breaks (an expired link, a listing that was re-created), the platforms simply stop updating without an error you are likely to notice.

Why iCal fails in high season

In May a three-hour window rarely matters, because two guests are unlikely to book the same villa for the same dates within hours of each other. From December to February, and around events such as New Year or Songkran, it happens. Here is how a typical collision unfolds for a villa listed on three channels linked by iCal.

Illustration: one villa, three channels, iCal links
TimeWhat happens
10:05A guest books 28 December–2 January on Agoda.
10:40Booking.com fetches Agoda's calendar and closes the dates.
11:30A second guest books the same dates on Airbnb, which has not yet fetched Agoda's calendar.
12:50Airbnb fetches Agoda's calendar. The dates are now closed, but two guests hold confirmed bookings.
Illustration only. Times depend on when each platform happens to check; Airbnb's published maximum is about three hours.

Three things make it worse in peak weeks: more searches per night, instant booking, which confirms the guest without waiting for your approval, and same-day or next-day bookings that leave no time for a feed to catch up.

What a direct connection changes

  • Bookings push, not poll. The channel sends the reservation to the channel manager, which closes the night on every other connected channel at once.
  • Prices and restrictions travel too. Nightly rates, minimum stays and check-in rules are set once and sent to each channel, so you stop editing three extranets.
  • One reservation list. Every booking lands in one calendar with its channel, guest and value, which also feeds your owner statements.
  • Errors are visible. A failed update shows up as a sync problem on the unit rather than a silent gap.

Switching from iCal to a channel manager without creating new double bookings

Most double bookings during a switch come from two leftovers: old calendar links that keep running alongside the new connection, and bookings made before the connection that the new system never hears about.

  1. List every iCal link on every channel

Write down which calendars each listing imports and exports, on Airbnb, Booking.com, Agoda and any smaller site.

  2. Delete Agoda's iCal imports before connecting

One channel manager's Agoda guide warns that an iCal import left on Agoda can overwrite the correct availability after the connection starts, causing double bookings, and that the import settings can become hidden once connected. If that has already happened, ask your Agoda representative to remove them.

  3. Remove iCal links between channels you now connect directly

Keep calendar links only for platforms without a direct connection, linked to the channel manager rather than to each other.

  4. Add bookings made before the connection by hand

A channel only sends reservations made after you connect. Export each channel's future reservations and enter any missing ones before you open availability, particularly on Agoda.

  5. Check one channel at a time

Airbnb allows one channel manager per host account, so plan the cutover for every listing on that account. Compare prices and open dates on each channel before you switch on sending.

What each OTA expects when you cannot host a guest

None of the three treats a double booking as a neutral mistake. The guest who booked is owed the stay, and the platform's rules decide who pays when that fails.

Overbooking and host cancellation rules (as published, November 2026)
ChannelWhat the rules sayWhat it costs you
AirbnbHost Cancellation Policy (effective 9 October 2023): fees apply when a host cancels a confirmed reservation without a valid reason. The calendar can be blocked for those dates; repeated cancellations can lead to suspension and loss of Superhost status.50% of the reservation amount within 48 hours of check-in, 25% from 48 hours to 30 days, 10% beyond 30 days; minimum US$50. No payout for the cancelled stay.
Booking.comGeneral Delivery Terms: you must provide the booked room, or use best endeavours to provide an alternative at no extra charge and tell Booking.com promptly. You may not cancel an online reservation yourself. Response windows: 30 minutes on the day or within 24 hours of check-in, 2 hours from 24 hours to 7 days, 24 hours beyond that. You reimburse the guest and/or Booking.com for all reasonable costs and expenses, payable within 14 days of the invoice.
AgodaPartner Hub: offer an equal or upgraded room at no extra cost; if none, find alternative accommodation of an equal or higher standard and provide transport to it at no extra cost to the guest. Contact Agoda as soon as possible.Booking rejections carry costs under Agoda's General Terms and Conditions (in YCS); amounts are not published on the help page.

Recovery playbook: the first two hours after a double booking

  1. Confirm which booking came first

Check the creation time on both reservations. The first one is normally the one you honour; the second is the one you relocate.

  2. Close the dates everywhere

Block the nights on every channel by hand so a third guest cannot book while you sort out the first two.

  3. Tell the channel before you tell the guest

On Booking.com, do not cancel yourself: contact Booking.com, which notifies the guest and arranges an alternative or relocation with you. On Agoda, contact partner support straight away. On Airbnb, ask support about your options before cancelling, because a host cancellation triggers the fees above.

  4. Find an equal or better alternative

Look in your own portfolio first: a similar villa or condo in the same area, same bedrooms or more. Pay any price difference and the transfer. A guest moved to a better unit rarely complains.

  5. Call the guest with the solution, not the problem

Explain what happened in one sentence, offer the alternative and a goodwill extra (an airport transfer or a free night), and confirm in writing through the channel.

  6. Find the root cause the same day

Was it a slow iCal feed, a booking made before the connection, an old iCal import on Agoda, or a reopened cancellation? Fix that cause, then check the next 90 days of every unit on every channel.

How Propool keeps Airbnb, Booking.com and Agoda in step

Propool connects Airbnb, Booking.com and Agoda directly, with full sync of nightly rates, availability and reservations, so a night sold on one channel is closed on the others from one calendar per unit. Any other platform connects by calendar link (iCal), which exchanges booked dates only. Bookings from channels arrive as instant bookings.

  • Connecting follows each channel's rules: sign in and authorise for Airbnb; a live property with the XML Service Agreement signed in the Extranet and the property ID for Booking.com; Channel Manager switched on in YCS and the hotel ID for Agoda.
  • A channel only sends bookings made after you connect, so earlier ones are added by hand; before the first sync Propool shows a snapshot of the channel's prices next to yours.
  • A unit that stops syncing is flagged in Inventory with what the channel reported, instead of failing silently.

Questions

How often does Airbnb sync an imported iCal calendar?

Airbnb says imported calendars update automatically every 3 hours, and you can refresh manually a limited number of times. Several imported calendars may update at different times.

Is iCal enough to avoid double bookings?

For a unit on two channels in low season it can be. With three or more channels, instant booking and peak dates, the hours between refreshes are enough for a second booking, so a direct connection is safer.

Should I delete iCal links when I connect a channel manager?

Yes, for every channel you connect directly. On Agoda in particular, an iCal import left in place can overwrite the availability the channel manager sends and cause double bookings.

What happens if I cancel an Airbnb booking because of a double booking?

Airbnb charges a host cancellation fee of 10%, 25% or 50% of the reservation depending on how close check-in is, with a minimum of US$50. It can also block those dates and affect Superhost status.

Can I cancel a Booking.com reservation if the property is overbooked?

Booking.com's terms say the property may not cancel an online reservation. Contact Booking.com, offer an equal or better alternative at no extra cost to the guest, and expect to cover reasonable relocation costs.
